Call for Event support 2020

SciLifeLab wants to support a number of events (workshop, symposium, conference or similar) that are within SciLifeLab’s core research areas and open to participants from all over Sweden. Our aim is to encourage collaboration among and between SciLifeLab research groups and facilities as well as with external organizations and to increase awareness of SciLifeLab to the broader research community in Sweden and abroad. A SciLifeLab facility or research group must be the organizer of the event. If you have an event planned or ideas for an event, apply now for SciLifeLab Event support 2020.

What we offer

In the coordination and financial support package, we:

  • Fund up to 50% of a realistic budget, but no more than 100,000 SEK for one event.
  • Prepare the SciLifeLab event page on https://www.scilifelab.se/events/
  • Book venue if the event is held at Tomtebodavägen, Solna or BMC, Uppsala.
  • Advertise the event online, in the newsletter, on SciLifeLab screens, and via e-mail.
  • Design event flyer.
  • Set up and administrate participant registration (this does not include handling of registration fees). Please note that the organizer/applicant handle all e-mail communication with participants regarding the event.
  • Book event lunch/es and coffee if the event is held at Tomtebodavägen, Solna or BMC, Uppsala.
  • Provide advice regarding event project management, project plan, general tips to the organizing committee.
  • Prepare name tags.
  • Set up and administrate an event evaluation.

In turn, we expect organizers to provide the necessary information, such as selecting a date, inviting speakers, and setting the program, in a timely manner. The organizers are responsible for all other tasks not mentioned above and must make sure to have one person that will be responsible for being the contact person for the SciLifeLab Operations Office. We will stay in touch throughout the process to facilitate a well-organized event for both organizers and participants.

In the financial support package, we:

  • Advertise the event online, on SciLifeLab screens and via e-mail.

The organizers are expected to take care of all other tasks.

Note: SciLifeLab is only partially supporting events so co-funding will be required for all events. SciLifeLab is positive to industry sponsoring of events. The sponsoring always needs to be in accordance with your university regulations.

All costs are paid by the main organizer´s department and the main organizer will requisition the granted sum (or the actual costs, if the event was less expensive than expected) from SciLifeLab after the event is carried out. The requisition form, including the financial outcome, must be sent to the SciLifeLab Operations Office within three months after the event has been carried out.
