Who is qualified to be a main organizer of an event?
Any member of a SciLifeLab research group or a SciLifeLab facility is qualified to apply for support.

Which additional tasks are organizers for financially supported national events expected to carry out?
Below are examples of activities that the organizers will need to do on their own. Book venue, set up and manage the registration of participants, communication with participants, book and administrate lunches and coffee, prepare name tags and print material, registration on site, coordination of exhibitions, coordination on site, carry out an event evaluation, program in general.

What amount of financial support can be received?
SciLifeLab will cover up to 50% of the costs for an event based on a realistic budget provided by the organizers. The financial support from SciLifeLab will however not exceed 100 kSEK for one event.

How is the funding transferred to events accepted for financial support only?
The main organizer will set up one specific project number for the event at his/her university department, from which costs can be paid in advance. The funds will be transferred to the department of the main organizer after the event has been completed. SciLifeLab requires a complete requisition form (including a list of participants, program, financial outcome and event evaluation (if applicable)) from the organizer to transfer the funding.

How is funding transferred to events that SciLifeLab is coordinating?
The main organizer will set up one specific project number for the event at his/her university department, from which costs can be paid in advance. SciLifeLab Operation Office will use the main organizer´s invoice address and reference for bookings of venue, catering, etc. The main organizer will be notified of all costs that will be ordered. The funds will be transferred to the department of the main organizer after the event has been completed. SciLifeLab requires a complete requisition form (including a list of participants, program, financial outcome and event evaluation (if applicable)) from the organizer to transfer the funding.

Who has the economic responsibility for the event?
The main organizer (department of the main organizer) will take full responsibility for the event, including financial responsibility.

Can certain costs be covered by industry sponsors?
Yes, SciLifeLab supports approaching industry partners for sponsoring of events. The sponsoring needs to be in accordance with university regulations. Please contact your university for policies regarding sponsoring.

Can my facility outreach event qualify for this support?
Yes. As a facility member, you can apply for support for organizing a workshop, symposium or similar at SciLifeLab or at another location. When events are organized at other locations SciLifeLab will not book venue or catering. You are encouraged to invite local and national users of the facility (“user cases”) to be part of the program.

Can the support also be used for a series of events?
We do not support a series of events such as seminar series in this call.
